Meeting Room Policy & Regulations

 

Uses

The library welcomes the use of its meeting rooms by community groups for civic, educational, and cultural activities.  The rooms are not available for purposes where, in the judgment of the Library Director, disorder and substantial disruption of the functioning of the library are likely to occur.  The rooms may not be used for purely social purposes such as private parties, showers, or other types of entertainment.  Library-oriented programs will have first priority for use of the rooms.

 

Central Booking/Reservations
Applications for use of a meeting room are available on the library’s website or at any library branch and should be submitted to the appropriate branch library in advance of the date requested.  Reservations will not be accepted for dates more than six months in advance. Meeting rooms may be reserved online from the library’s website or by calling the branch.  Reserving a library meeting room constitutes acceptance of the library’s meeting room regulations, which are posted on the library website and must be acknowledged before a reservation can be finalized.  Requestors can download the regulations for future reference, or library staff may assist them in obtaining copies.  Meeting room reservations may be cancelled via the library website or by telephone to the appropriate branch.  Cancellations should be made as early as possible, and at least 24 hours in advance.  Failure to notify the library of a cancellation may jeopardize future bookings.

 

Hours of Service and Fees
Meeting rooms are available for use Monday – Sunday.  All meetings must be completed and the buildings cleared by 11:00 p.m.  There are no fees charged for the use of the meeting rooms.  For meetings scheduled after library hours, meeting room keys must be picked during open hours at the library branch.  Staff will not be available to open the meeting rooms when the library is closed.  Keys are returned in the book drop immediately following the meeting. 

Meeting Room Regulations
1.      It is understood that the public will be welcome at all meetings and no admission fee shall be charged.

2.      Meeting attendance may not exceed the posted room capacity.

3.      Children’s and youth groups may use the facility, provided that they are adequately supervised by adult sponsors (no less than 1-20 ratio).

4.      No exhibits, maps, charts, posters, etc. may be hung on the walls without advance permission.

5.      Light refreshments may be served.  Alcoholic beverages are not permitted.

6.      Smoking is not permitted in any area of the library.

7.      No group or organization shall use the library as a mailing address.  Any publicity must carry the name of the organization sponsoring the meeting.  The library may not be identified as a sponsor.

8.      The library will not provide personnel to assist with the handling of equipment or other items needed by groups using a meeting room.

9.      County insurance does not cover exhibits or materials brought into the library.

10.  When making a reservation, please include time for setup and return of the room to its standard arrangement.

ü      Users are responsible for replacing tables, chairs, and equipment to the standard arrangement.

ü      Users are responsible for leaving the room and kitchen in a clean condition.

ü      Lights in the restrooms and meeting rooms must be turned off at the end of the meeting, the building secured and key returned to the book drop .

ü      Users are responsible for any damage to the room or County property .

11.  The library is not responsible for lost or stolen articles.

12.  The library is not responsible for any injury to persons or damage to property resulting from the use of library facilities.

13.  No pieces of equipment or other items belonging to a group may be left in the library between meetings, nor may library telephones be used for other than library business.

14.  The library is not responsible for items left in the conference room.

15.  The library assumes no responsibility for any view expressed during a meeting and provides no supervision of activities.

16.  In the event of an emergency, the Library Director reserves the right to cancel meeting room reservations.  In the event of severe weather conditions, a group representative will be responsible for listening to local radio stations or contacting the library for closure announcements.

17.  Members of groups using a meeting room during library hours of operation must not disturb library customers.  Children associated with groups using a meeting room must be supervised while in the library.

18.  The person applying for the reservation of a meeting room should retain a copy of these regulations for referral.

 

19. Application for Room Use - completed applications for room use can be returned to the library by email to buttecountylibrary@buttecounty.net , fax at 530-538-7235, regular mail to 1820 Mitchell Avenue Oroville 95966 or in person at your local branch.
